Church Journey exists to help churches make sure people do not fall through the cracks. Churches use Church Journey to organize follow-up, care, tasks, forms, milestones, and simple team responsibility.

This Privacy Policy explains what information Church Journey collects, how it is used, and how we protect it. This is an early version of the policy and may be updated as the product grows.

Who Uses Church Journey

Church Journey is used by churches and authorized church team members. Churches may enter information about people they are caring for, following up with, or connecting with through ministry.

Information We Collect

We may collect the following types of information:

  • Church account information, such as church name, church contact details, administrator name, email address, account status, and billing-related information.
  • User information, such as names, email addresses, roles, invitations, and authentication details for authorized team members.
  • People and ministry follow-up information entered by a church, such as names, phone numbers, email addresses, addresses, household details, tracks, milestones, care flags, touchpoints, tasks, notes, and follow-up history.
  • Form submissions from public church forms, such as Connect Cards, "You Said Yes" forms, "I Need the Pastor" forms, and custom forms created by a church.
  • Communication information, such as message history, recipients, timestamps, and delivery-related information.
  • Technical information, such as basic logs and metadata needed to operate, secure, debug, and improve the service.

How We Use Information

Church Journey uses information to:

  • provide the Church Journey service;
  • help churches organize follow-up and care;
  • help churches assign and complete tasks;
  • help churches track forms, milestones, touchpoints, and people journeys;
  • communicate service-related information;
  • process billing and account administration;
  • protect, troubleshoot, and improve the platform;
  • respond to support requests.

Church Journey does not sell personal information.

Church Control Of Church-Entered Data

Churches are responsible for the information they choose to enter into Church Journey. Each church is responsible for making sure it has appropriate permission, authority, and internal policies for collecting and using personal information in ministry.

Church Journey provides the software platform. It does not replace a church's responsibility to handle personal information wisely, lawfully, and pastorally.

Sensitive Ministry Information

Church Journey may be used to track care needs, follow-up notes, and ministry-related context. Churches should avoid entering unnecessary sensitive information and should use discretion when recording pastoral, care, family, health, or crisis-related notes.

Church Journey is not designed to be a medical record system, counselling record system, abuse reporting system, child-protection compliance system, or emergency response system.

Sharing Information

We may share information with trusted service providers who help us operate Church Journey, such as hosting, database, email, payment, analytics, security, and support providers.

These providers are used only to support the operation of the service. We do not sell church or people data to advertisers or data brokers.

Examples of service providers may include platforms used for hosting, database/authentication, email delivery, payment processing, and infrastructure.

Billing Information

Payments may be processed by a third-party payment provider. Church Journey does not need to store full payment card details directly. Billing information is handled according to the payment provider's systems and policies.

Email And Communications

Church Journey may send account-related emails, invitations, onboarding emails, support emails, and service notifications.

If Church Journey sends marketing emails, those emails should identify the sender and provide a way to unsubscribe where required.

Churches are responsible for the content and recipients of ministry communications they send through the platform.

Security

We use reasonable technical and organizational safeguards to protect information, including authentication, role-based access, database security rules, and service-provider protections.

No online service can guarantee perfect security. Churches should use strong passwords, limit access to authorized users, and promptly remove users who should no longer have access.

Data Retention

Church Journey keeps information as long as needed to provide the service, support church accounts, meet operational needs, or comply with legal obligations.

Churches may request help exporting or deleting their account data. More self-serve export and deletion tools may be added as the product grows.

Access And Correction

Churches may update or correct information they have entered into Church Journey. Individuals who want access to or correction of information submitted to a church should usually contact that church directly, because the church controls the ministry relationship and the information it entered.

Church Journey may help respond to access, correction, or deletion requests where appropriate.

Children And Minors

Church Journey may contain information about minors if a church chooses to enter that information. Churches are responsible for using appropriate care, permission, and policies when collecting or recording information about children or youth.

International Service Providers

Some service providers may process or store information outside of Canada. By using Church Journey, churches understand that information may be handled by service providers in other jurisdictions where different laws may apply.

Changes To This Policy

We may update this Privacy Policy as Church Journey grows or as legal, technical, or operational needs change. The updated version will be posted on this page with a revised "Last updated" date.
